Privacy Policy

This policy explains what Roxheiris (run by Razumentis, Guatemala) collects, why, who processes it, and how to delete it. Short version: we collect what’s needed for Mao to talk with you and remember you, we use a small number of service providers to do it, we don’t sell your data, and you can ask us to delete everything.
1. What we collect
- Account: your email address, a securely hashed password (we can’t read it), an internal account ID, your language preference and when you joined.
- Subscription: from Lemon Squeezy we receive your customer and subscription IDs, plan, status and renewal dates. We never receive your full card number.
- Conversations: the text of your messages, written transcripts of what you say by voice, and Mao’s replies.
- Memories: facts and preferences Mao picks up from your conversations (for example a name or a date you mentioned), a short summary profile of you, and her private “diary” notes about your conversations — along with numeric representations (embeddings) used to find the right memory at the right time.
- Reminders and tasks you ask her to keep.
- Mac skills (optional): if you use the Roxheiris Mac app, what Mao fetches on your Mac when you ask — for example calendar events, file names and locations, the song playing, your Shortcut names — passes through our server to our AI provider so she can answer. It isn’t stored separately; only her reply stays in your conversation. You can turn each skill off in the Mac app’s Settings.
- Usage: how much you use Roxheiris (message counts, characters spoken, seconds of audio, model usage and its estimated cost) so we can apply the monthly allowance.
- Technical data: IP address, device/browser type and request times in our server logs, used to run and secure the service.
- On your device: the web app stores your sign-in token and settings in your browser’s storage.
Your voice: when you talk, your audio streams to our server and on to our speech-recognition provider to be turned into text. We don’t save recordings of your voice on our servers — we keep the transcript.
2. Why we use it
- to understand you and reply, in text and in Mao’s voice;
- to remember what matters to you across conversations, and keep your reminders;
- to run your account and subscription and apply the usage allowance;
- to keep Roxheiris secure, fix problems and prevent abuse;
- to answer you when you write to us.
We don’t sell your personal data, we don’t use it for advertising, and we don’t use your conversations to train AI models.
3. Who processes it
- Alibaba Cloud (Model Studio / DashScope, Alibaba Cloud International): your messages, voice audio and relevant memories are sent to Alibaba Cloud’s AI models to transcribe your speech, generate Mao’s replies, produce her voice and create memory embeddings. This processing happens in Alibaba Cloud’s Singapore and United States (Virginia) regions, under Alibaba Cloud’s own terms and privacy policy.
- Lemon Squeezy handles checkout, payments, taxes and invoices as merchant of record, under its own privacy policy.
- Tailscale provides the secure network connection through which the app reaches our server. Traffic is encrypted (HTTPS) to our server.
- When you ask for things like the weather, the minimum needed (such as a city name) is sent to the service that provides it.
Our own server, where your account, conversations and memories are stored, is operated by us in Guatemala. Using Roxheiris therefore means your data is transferred to and processed in Guatemala, Singapore and the United States.
4. How long we keep it
We keep your account data, conversations, memories and reminders for as long as your account exists, because that’s what lets Mao remember you. Server logs are short-lived and rotated automatically. When you delete your account, we delete this data within 30 days; copies in our backups are overwritten within a further 30 days. We keep subscription and payment records for as long as tax and accounting law requires.
5. Deleting things and your other choices
- Remove specific memories: email us saying what you want Mao to forget and we’ll delete it from her memory.
- Delete your account and data: email [email protected] from the address on your account with the subject “Delete my Roxheiris account”. Cancel your subscription first so you aren’t charged again.
- Get a copy or correct your data: email us and we’ll send you a copy of your conversations and memories, or correct what’s wrong.
Depending on where you live (for example the EU/UK, California or elsewhere) you may have further rights, such as to object to or restrict processing, or to complain to your data-protection authority. Write to us and we’ll respond within 30 days.
6. Security
Passwords are hashed, connections are encrypted, and access to the server is restricted to us. No system is perfectly secure; if a breach affected your data we would tell you without undue delay.
7. Age
Roxheiris is for adults aged 18 and over. We don’t knowingly collect data from anyone younger; if we learn we have, we delete it.
8. Changes
If we change this policy in a way that matters, we’ll tell you by email or in the app before it takes effect.
